Admin's question for event organisers (33)

I keep a separate spreadsheet for attendees, add a name once they've memo'd me, then post when the guest info memos have gone out, stating that if you haven't received a memo then you aren't on the list... I keep an eye on who has ticked the 'I'm going' and if it's a name I don't recognise then I'll mail then myself.

So.. in conclusion..I'd like to be able to send out more memos in one go...

Perhaps this is a privilege that should be granted only to events/groups but not to individuals. Possibly made available by request to admin so that somebody can't set up a spurious group profile for the purpose of spamming IC.

I think this is a brilliant idea if it's an option to be set by the event organiser. Some events don't need it but some do and it would be a big help for an organiser.

I would welcome a system that allowed that. It would be a simple way to highlight that the individual was a wanker and an inappropriate guest. We could weed them out in advance without having to suffer them in person.

Different organisers have different approaches to guest lists. Some generate large lists and get only a small proportion of those guests turning up. At Ann & Roly's we prefer to compile an accurate list and we if we start with a guest list of N people, we find that the number turning up is N plus or minus just a small percentage. We make it quite clear that guests who persistently ask to be put on the list, but neither show up nor let us know, will not get onto future lists. It's just a simple courtesy thing and if guests can't be courteous, they probably won't fit in with our parties anyway.

Yep this is how we work too... we have a black list of those that have booked and failed to show twice without any form of communication BEFORE the event...

I'm happy to click on the "I'm going" button when the decision has been made (and even then I don't always do that) but I'd hate to have some event organiser think I am a time waster because I clicked that I was interested and then never turned up. I frequently click on "I'm interested" because it gives me a selection of events on my calendar that we might go to. I often have more than one event on the same day on there, because we're working out where we're going.

This is why asking the person to send a memo themselves (rather than a computer generated one) works for us...If someone wants to come and party, sending one memo is nothing to ask...

This sounds like a winning idea :)

...also as another idea could an event thread be slightly differently formatted so that when you reply on it, you are forced to also select whether you are going, not going, interested, or just posting a random comment to the thread?

I find it really helpful having the list of people who are going at the top, but not everyone clicks on the attending button who is attending :)

I find it really helpful having the list of people who are going at the top, but not everyone clicks on the attending button who is attending :)

But some people don't want every one knowing they are going to an event - for what ever reason - and we need to respect that. I have this happen, they memo me in private and confirm they wish to come along.

This is why we request they memo us rather than 'just' using the thread and we ask them to tell us if they can't make it when we send out the guest info a week before hand. We still have no shows who failed to let us know...but these are people we're dealing with and sadly not every one has the courtesy we'd like.

This is going to sound harsh and i know i had to contact you to say at the 11th hour that i couldnt attend the last fxxxed up due to work. But if you go by health and safety rules and have so many numbers within a club, its not nice as an organiser to see i'm going on the boards you've counted the numbers up then the person doesn't turn up nor give you an explanation. You then aren't able to contact a person who has been desperate to go.

It's frustrating
